Microsoft 365 Support Checklist

MFA on the tenant, not a memo

Microsoft 365 is where mail, calendar, Teams, and — if you set it up — the files actually live. It is also the easiest place for a phished password to become a wired-money problem. The first item on a support checklist is MFA for every real user, including the owner who “doesn’t want to be bothered.” Shared mailboxes should not be a second password on a whiteboard. If a seasonal hire needs mail, they get their own sign-in that you can turn off in September.

Files in the tenant, not a desktop called Shared

If the office “files” are a folder on one PC that happens to be turned on, you do not have cloud files. You have a desktop with a hopeful name. Put the documents in SharePoint or Teams with permissions you can explain, and stop mapping a twelve-year-old drive letter that dies when that PC sleeps. Backup of Microsoft 365 is a separate question from “it is in the cloud so it is safe.” The cloud is Microsoft’s building. Retention and a restore path are still yours.

Licensing should match how people work. A shop that never opens Teams does not need a speech about copilot. A shop that lives in email needs mail that flows, and a spam path that is not the owner’s personal Gmail forwarding trick from 2016. We will say what you are actually using.

Local help when Outlook breaks

Outlook profile corruption, a stuck mobile device, a mailbox that filled because nobody was watching — these are not tickets that should bounce between a national desk and a web form. They are twenty minutes with someone who can sit in the office or take remote control and already knows you are in Atlantic County, not a generic “northeast SMB.” That is the rest of the checklist: a person.

Offboarding belongs on the same list as MFA. When a seasonal hire leaves in September, their mailbox, the shared calendar they were added to, and the Teams guest they forwarded to a personal Gmail should leave with them. A former employee who can still open invoices is not a Microsoft problem. It is an admin-role problem. We walk that list when we take on the tenant: owner, bookkeeper, front desk, last summer’s names still sitting in Azure AD.
